What Is HCMToGo and Why Does Your McDonald’s Use It? {#what}

HCMToGo is the payroll and HR platform used by many McDonald’s franchise groups across the US. Because over 90% of McDonald’s restaurants are franchise-owned, and each franchise operator chooses their own payroll system, HCMToGo is not universal – but it is the most common franchise choice.

Inside HCMToGo, you can check and edit timesheets, submit and view time off requests, check vacation and sick balances, enroll in benefits, view pay stubs, manage direct deposits, and check your schedule.

If your McDonald’s location uses HCMToGo, your manager will have given you a company short name during onboarding. You need that short name to log in. Without it, the app will not connect to your franchise’s payroll account.

How to Log In to HCMToGo for McDonald’s

On mobile (recommended):

  1. Download the HCMToGo app from the App Store or Google Play
  2. Open the app and select your region — choose North America for US locations
  3. Enter your company short name — this is the unique identifier your manager provided during onboarding
  4. Enter your username and password
  5. Tap Log In

On a computer:

Some franchise groups provide a direct web URL instead of the app. The URL format is typically: secure.entertimeonline.com/ta/[YOURCOMPANYCODE].login. Your manager or franchise HR office will have your specific URL.

If your administrator has not set up the HCMToGo app for your organisation, you will not be able to get access. Check with your manager or company admin before downloading.

How to View Your McDonald’s Pay Stubs in HCMToGo

Once logged in:

  1. From the main dashboard, tap or click My Information
  2. Select Pay Stubs or Payroll
  3. Choose the pay period you want to view
  4. Tap the pay stub to open it, then download or print as a PDF

If you receive more than one pay statement per pay period because your franchise operates under multiple companies, toggle between companies in the HCMToGo app. Tap the hamburger menu (three horizontal lines) in the upper left corner, then tap the blue circle with your initials to see a dropdown showing all companies under which you are employed.

How to Download Your W-2 from HCMToGo

To access your W-2, first hover over or tap My Information and click W2s. If this is your first time viewing your W-2 electronically, click the blue Electronic Consent button, scroll to the bottom of the form, check the box to receive the form electronically, enter your password, and click Save. This consent will not populate previous year W-2s or 1095-Cs.

Set up electronic consent as early as possible after you start working. If you wait until tax season, you may delay your own W-2 access. McDonald’s franchise employers must provide W-2 forms by January 31 each year.

Checking Your Schedule and Requesting Time Off

Inside HCMToGo, you can check your schedule and, if your location enables it, swap shifts with peers. You can also submit and view time off requests and check your vacation and sick balances.

To view your schedule, tap My Schedule from the main dashboard. To request time off, find the Time Off section and submit your request with the dates and reason. Your manager receives the request and approves or declines it through the same system.

Note that some McDonald’s franchise groups use Altametrics / ZIPschedules for scheduling instead of HCMToGo, even if HCMToGo handles their payroll. Ask your manager which app your location uses for shift schedules specifically.

Forgot Your HCMToGo Password

On the HCMToGo login screen, leave the password field blank, click Forgot Password, and enter the username that was emailed to you during onboarding. Follow the reset email instructions.

If you do not have access to the email on file, contact your franchise HR office directly. They control account access and can reset your credentials on their end. Your manager can also contact the franchise office on your behalf if you cannot reach HR directly.

Common HCMToGo Problems for McDonald’s Employees

“I don’t have a company short name”

Ask your manager immediately. This is a required field and you cannot log in without it. Your manager has it and can provide it in under a minute.

App downloaded but login fails every time

Confirm with your manager that your franchise has activated HCMToGo for employee access. If your administrator has not set up the app for your organisation, you will not be able to get access regardless of what credentials you enter.

Pay stubs are not showing up

Check that you are viewing the correct company if your franchise operates under multiple entities. Use the company toggle in the top left menu to switch between accounts. If pay stubs are still missing after a pay period has passed, contact your franchise payroll office.

W-2 not appearing in January

Confirm you completed Electronic Consent in the app. Without completing the electronic consent step, your W-2 will not appear in the system even after your employer releases it. Complete consent and check again. If you missed the electronic window, ask your HR office for a paper copy.

Access cut off after leaving McDonald’s

Portal access is typically cut within two weeks of your last day. Download all pay stubs as PDFs and complete the Electronic Consent for W-2 access before your last shift.
