When Does McDonald’s Release W-2 Forms?
By law, your employer must provide your W-2 by January 31 each year for the previous year’s earnings. McDonald’s corporate and franchise operators follow this deadline. Most employees see their W-2 appear in their portal in late January. If your W-2 has not appeared by mid-February, something is wrong and you need to take action.
Tax season is the one time of year when the difference between corporate and franchise portals matters most. The steps to get your W-2 vary by which system your location uses.
Corporate McDonald’s W-2 — account.mcd.com
For corporate employees, log in to account.mcd.com and navigate to Tax Documents or Year-End Forms.
- Go to account.mcd.com and log in with your EID or archID username
- Navigate to Tax Documents or Year-End Forms from the dashboard
- Select the W-2 for the relevant tax year
- Download as a PDF

Franchise McDonald’s W-2 — HCMToGo and Other Portals
HCMToGo users:
Hover over or tap My Information and click W2s. If this is your first time viewing electronically, click the blue Electronic Consent button, scroll to the bottom of the form, check the box, enter your password, and click Save. Your W-2 will then appear under My Information each year after January 31.
ADP users:
Log in at workforcenow.adp.com. Navigate to Pay, then Tax Statements, then select the W-2 for the relevant year. ADP also allows you to consent to electronic delivery, which you should set up early to avoid delays.
Paycor and Paychex users:
Log in to your respective portal and look for a Tax Documents or Year-End section. The W-2 download process works the same way across all these platforms.
Former McDonald’s Employees Getting Their W-2
Former employees still have a legal right to their W-2 even after portal access is removed. Here are your options:
If you’ve left McDonald’s, ensure you download your pay stubs and W-2 before access is cut, typically within two weeks of your last day.
If you are already locked out when W-2 season arrives, contact HR at your former location. Provide your full name, employee ID, and the last address on file. They can mail you a paper copy or restore temporary portal access to download it electronically.

W-2 Not Showing Up — How to Fix It
You did not complete Electronic Consent in HCMToGo
This is the most common reason franchise employees cannot see their W-2. Electronic consent must be completed before McDonald’s releases the W-2 electronically. Without it, your W-2 will not appear in the system. Log in to HCMToGo, complete the consent step under My Information, and wait up to 24 hours for your W-2 to populate.
It is before January 31
McDonald’s cannot release W-2s before January 31 by law. If you are checking in early January, your W-2 simply is not ready yet. Check back in the last week of January.
Your address in the system is wrong
If McDonald’s mails a paper W-2 and you have moved, it goes to your old address. Log in to your portal immediately and update your address under personal information. Then contact HR to request a reissued W-2 sent to your correct address.
You changed portals or locations during the year
If you transferred between a corporate and franchise location, or between two franchise groups using different payroll systems, you may receive two separate W-2 forms — one from each employer. Check both portals and confirm you have a W-2 from each entity that paid you during the year.

If Box 1 does not match what you expect based on your total earnings, check your year-to-date total on your final pay stub of the year. Pre-tax deductions such as 401k contributions and health insurance premiums reduce Box 1, which is why it can look lower than your actual gross pay.
